Guild Meet-Up 2010

Ladies and Gentlemen,
The Committe has met and the 2010 Guild Meet Up will be
AUGUST 13-15, 2010 in Portland, Oregon
We based this on Holidays, potential School schedules and Airfare from different areas of the country - so start saving your pennies.
Friday:
Gather at Garreth and Saja's as people get into town BYO Snacks (we now have a BBQ as well if you want to bring something to grill). We will have a Keg that will carry over to Saturday night. Feel free to bring other beverages of your choice.
Saturday:
Day time: Blue Lake Park

Carpool as much as possible. We will meet at Cascade Station between 10:30 and 11 and head to the park for BBQ and hanging out.
Evening: Once we get bored, we can head out and get cleaned up and head to Val and Josh's for more BBQ and Keg
Things people should bring:
- Swim suit (water feature at Blue Lake Park)
- towel
- Pillow
- Sunscreen
- good attitude
- Extra cash for Blue Lake Park ($5 if you are a driver) and I believe the paddle boats rent by the hour
Sunday:
Ape Caves for those who would like to go
Things to bring if you plan on going to the Ape Caves (45 degrees year round)
- Warm Jacket (layers are best)
- Good walking shoes
- gloves if you want
- warm hat
- Strong flashlight or lantern (both if you have them) and any extras you might have
- pants to wear in cave

Additional Notes:
Your Fee includes paying for the following:
- Food for Saturday at the park and in the evening
- Keg for Friday and Saturday
- Reservation for Blue Lake Park
- Your T-shirt
- Some gas money for Drivers to the Ape Caves (since it's about 45 min to an hour away)
The Fee does NOT cover the following:
- if you plan to FISH on Saturday at Blue Lake Park, I believe you must have a permit.
- Paddle boats and other activities IN the park that require money
- It will be your car load's responsibility to pay the $5 to get into the park on Saturday, to encourage car-pooling
Ok, since we've been "called out"- here is a breakdown of the pricing. I am going on the assumption that we will have 30 people coming to this thing.
Park: $2 per person (actually $1.33 but I'm rounding up a few cents to make it easier)
Food: $12 per person (includes TWO meals of hamburgers, hot dogs, chicken burgers, cheese - plates, forks, spoons, cups, drinks, sides like beans, fruit, veggies, chips, condiments)
Keg: $5 per person
Shirt: rounding to $15 since we don't know how much this will be yet exactly
This equals $34 per person.
We have to consider some are bringing their kids who will eat, and we might not get 30 people even coming at all. If we don't then it makes the keg and the park more expensive for each person. Julie and I worked out this budget over an entire evening trying to do this the most cost effective way while making it the most fun.
If you have a problem with the price than don't come. Say we do make a "profit" than that goes to the website and the vent server, which at this time, the costs are being generously donated by guildies. Or buying extra snacks for Friday night.
We worked hard to plan this thing. So if you can't bring a good attitude as listed above, and want to complain about how this is going down, then don't come, or take on planning it for next year.
I will tell you that two or three people footed most of the bill last year in donations and we wanted to avoid that this year. We spent $400 on the Saturday food alone last year. Some people did not contribute at all.
So. it's all out there. Go ahead and audit me.

Decide on a Date
Begin to arrange places for people to stay
Come up with a fair payment idea
Come up with ideas to sponsor those who need to fly from a long distance (ie fundraisers/scholarships etc)
